How to manage your Team Access

Learn which roles you can give to your team, what these roles mean, and how to assign them.

Available roles for your team

Admin

Full app access for business owners and directors

View Draft Send Pay

Pay bills and make bank transfers, as well as full tax and invoicing access

View only

View all account balances, invoices, and transactions

Expense Card holder

Use and manage their own Expense Card, and add receipts to their expenses

Manager

Invite Admins and team members, and subscribe to Tide products

Accountant

Access to bookkeeping and Tide Accounting features

Cashier

Accept payments with Tide Card Reader and Tap to Pay on iPhone

How to add, change or remove a Team Member

How to add, change or remove a Team Member

Add a new Team Member

Only Admins can invite a Team Member. Tap the profile icon in the top left corner of the app, then  Profile and Settings > Manage Team > select your Team Member > Send a new Tide invite > Send invite.

Once invited, all they need to do is:

  1. Download the Tide app from the App Store or Google Play Store

  2. Open the link in the email invitation

  3. Go through the onboarding checks

Onboarding of Team Members is mandatory. We'll ask for their names, DOB, ID, a selfie, and an address. Once we've checked those details, we'll tell them if they've been approved. This can take up to two days, but usually takes less than ten minutes.

Remove a Team Member's access

Tap the profile icon in the top left corner of the Accounts tab, then tap Profile and Settings > Manage Team > select your Team Member > Revoke access.

Change a Team Member's role

Tap the profile icon in the top left corner of the Accounts, then tap: Profile & Settings > Manage team > select the relevant team members > Team Access > choose from the list of available access levels.

How to remove an Admin

Self closure

Admins can close their account themselves, completely removing their access.

Tide assisted closure

If someone is no longer listed as a director of your company on Companies House, it’s the business’ responsibility to ensure that their admin access is revoked immediately.

Tap the Support icon in the top right corner > Messages to reach our team, and we can help you do this

We’ll first check if the admin is still listed on Companies House as a director. If they are, we can’t remove them. If they've been removed, we can then remove their access.

How Team Access works with your account plan

To assign ‘Admin’ or ‘View, Draft, Send and Pay’ access, you must be on either Smart, Pro or Max plan. 

Free plan

Give ‘View-Only’ unlimited and issue Expense Cards for £5+VAT per month each.

Smart

Add 1 role and get 1 free Expense Card.

Pro

Add up to 2 roles and get 2 free Expense Cards.

Max

Add up to 5 roles and get 3 free Expense Cards.

Roles in detail: Admin

Full access and full control

Accounts

How Team access works with your transaction limits

Both Admins and Team Members with View, Draft, Send & Pay access are able to make payments, but Admins can’t set individual limits on these transactions.

This means that any bank transfers that you or your team make will contribute to the Tide account's overall transaction limits.

Team Access best practices

Stay on the same page

It's helpful if Admins discuss certain changes to the account with each other, to avoid making duplicate or conflicting requests. For example, plan upgrades or downgrades which could result in changes to roles and permissions.

Avoid spending surprises

You may want to discuss budgets or spending guidelines with Tide Card and Expense Card holders.

How closing your account works with Team Access

Non-Admin

If you’re not an Admin, closing your account will only remove your own access. Other team members will keep the access they have.

Multiple Admins

If there are other Admins, closing your account will simply remove your own access. The remaining Admins and team members will continue to have access. Companies with multiple Admins can only close the Tide business account entirely once all but one admin has revoked their access.

Single/last remaining Admin

If you are the only Admin, closing your account will start the account closure process for the entire business, and all team members will lose access once the business account is closed.
