Set up and manage your Expense Cards

Learn how to add your team members, manage their spending, and control their access.

With Expense Cards you can

Choose how to pay

  • Receive your own active physical card and 5 active virtual cards with your name on

  • Make Chip + PIN and contactless card payments

  • Add your card to digital wallets

Stay in control

  • See company details like the trading name, address, and VAT number

  • View and freeze your card

  • See or change your PIN - only you can see your PIN

Manage your transactions

  • See and approve your own card payments

  • Add receipts, attachments, tags, categories and references

Set up your Team Expense Cards

Step 1: Admin - order your Expense Cards

  1. Tap Pay and select Team Expense Cards from the stacked accounts

  2. Choose whether to order a card for an existing team member, or enter the details of a new one

  3. Your team member completes the steps in Step 2 below

  4. We'll deliver the Team Expense Card to your trading address within a week

Problems with ordering?

If you can’t see the Team Expense Cards feature, go to the app store and check your Tide app is up-to-date. If your team member hasn’t received the invitation email, the link isn’t working or it’s expired, you’ll have to send another email with a new link:

  1. Go to Profile > Profile and Settings > Manage Team

  2. Select your team member, tap Send new access email > Yes

Step 2: Team member - Get connected

  1. Download the Tide app, tap Login and enter your email address

  2. Open the email shortly we'll send you

  3. Pass our quick onboarding checks and you're ready to go 

Step 3: Start using your digital card

  1. Tap Pay > Cards

  2. Select your card and tap View details

  3. Make online payments or add your card to your digital wallet (Apple Pay or Google Pay)

Step 4: Activate your physical card

  1. Tap Cards > select your card > view your PIN

  2. Make a Chip & PIN payment or an ATM withdrawal

  3. Your card now supports contactless and magstripe payments

Verify your team's payments

Team members can approve their own online payments, but their admin will still receive a ‘Verify Payment’ notification.

This gives them the option to approve or decline the transaction before or instead of the team member.

Set monthly spending limits

  1. Tap Pay > Cards

  2. Select your Team Expense card > scroll down to Limits 

  3. Tap a limit to change it

Here you can also limit online payments, ATM withdrawals, and more.

Admins can also set allowances for specific Spending categories (like Eating out, Public transport, etc.) for team members.

  1. Tap Cards > select Team Expense card

  2. Scroll to Limits to find Spending Categories

  3. Select the categories you wish to limit

  4. Tap Save changes

Team members can request changes to their card spending and ATM withdrawal limits.

  1. Tap Cards > select your Team Expense Card

  2. Scroll down to Limits

  3. Tap a payment method or limit > Request change

Admins have full control and can approve or reject the change request.

  1. Tap Cards > Select Team Expense card

  2. Scroll down to Limits > see your pending requests

  3. Approve or reject

Freeze, unfreeze, or cancel team members' cards

  1. Tap Pay > Cards > Team Expense Cards

  2. Select your team member's card

  3. Tap Freeze/Unfreeze or Cancel Expense Card

When you cancel, we’ll charge you a final £5 on the 4th of the following month.

Troubleshooting access

For now, the best experience for team members is on a phone, so we only support access on laptops with strong authentication hardware, e.g. MacBooks with a fingerprint reader or computers with Windows Hello.

If you’re having trouble on a device with a hardware authenticator, try using Safari on iOS or Chrome on all other platforms. We’re working on a secure way to enable login on other computers.

SMS codes

For security, we limit how many verification code attempts you can make. If you’re having trouble, you may have hit your limit. Just request a new code to start again. There’s also a limit to how many new SMS codes you can request within 24 hours.

If you don’t receive an SMS code and the send a new code button isn’t working, there’s a chance your phone number is incorrect. Check that the account admin has set you up with the right phone number. They can edit it in their app if needed.

Switch between multiple businesses in your app

  1. Tap Profile

  2. Select a company from the list under Your businesses

For your security, switching between businesses must be authenticated with fingerprint, facial recognition, or your app passcode.

Once you've completed the immediate steps, you can log in again by visiting https://web.tide.co/team-cards/login on your replacement phone.

If you're a team member and can’t remember your password, you will need to request a new email invite from your admin.
